case study: the asu undie run

Imagine a charity event where college students not only have the time of their lives, but are eager to donate the clothes (literally) off of their backs and the food out of their pantries. That dream became a reality on the Arizona State University (ASU) Tempe Campus. The ASU Undie Run is an event where students (upwards of 20,000 of them) gather on the last day of classes to donate clothing and food to the less fortunate. Since its inception in 2008, the event has flourished, outgrowing two different outdoor venues, and requiring 5 different charities to handle all of the donations. A main part of the event is the concert held prior to the run. This is where Endless Entertainment came in.

Endless Entertainment was contracted to supply production (lights, sound, and video), entertainment (4 DJs and live percussionist), a roaming photographer, extensive planning and programming, marketing through various mediums such as social media and print as well as facilitating vendor relationships for the event.

A major challenge with the event was its sheer ongoing size and scale. Over the past 4 years, the event had seen as many as 20,000 participants, and this required a significant amount of production, and management. The main obstacle was providing a large enough sound system so all 20,000 participants heard music that gave a crisp and clear sound ,while still feeling the booming bass and providing a concert experience. With that came the responsibility of keeping the crowd hyped throughout the whole event, while knowing when to harness the energy for safety purposes. Another main obstacle was providing a DJ stage large and attractive enough for everyone in the crowd to enjoy our stunning visuals.

In 2012, another challenge was to increase the awareness of this event as a charity. Through creative slogans such as “undressing to dress others”, and working closely with local media, ASU Undie Run was able to increase its brand awareness as a charity. Custom flyers were created to stress the importance of donating clothing prior to entering the event. We utilized Facebook as a major marketing and hype-increasing tool. With over 16,000 “Likes” on Facebook, we were able to keep ASU students in-the-know with status updates, pictures, and videos prior to the event to get everyone excited for our greatest Undie Run yet!

With an event this large in scale, communication was critical. We worked closely with a logistics team, and security from day one to ensure safety was always being considered. Our staff also worked closely with the university administration to insure their best interests were kept in mind. While the whole planning process took nearly a year, we ensured that from day one, there was complete communication between all parties involved with the event.

In conclusion, with the aid of Endless Entertainment, the ASU Undie Run was able to effectively double the amount of its donations and attendance for the past 4 years through creative marketing, rememberable entertainment, and jaw-dropping production. In 2012, the ASU Undie Run raised more than 9,000 pounds of clothing, and 5,000 pounds of food for the less fortunate. Our staff received praise from both the City of Tempe, university administration, event staff, vendors and of course, the students.
